Job description

JOB DESCRIPTION

The role is varied & dynamic and we are looking for an all-rounder who doesn’t mind getting their hands dirty in true start-up style, stays calm under pressure and thrives off managing multiple things at once. Salary:  Starting at £25,400

Work Locations: Mix of Camden, NW1 8AJ and Stoke Newington, N16 8RY

Hours: 40 hours per week (including occasional weekends/infrequent antisocial hours)

Reports to: Head of Operations

JOB PURPOSE

To support the Head of Operations to ensure smooth day-to-day business operations: from our front of house services to production, facilities management, Charity Programmes, Head Office and everything in between. Employed by the Luminary Business, 75% of your week will be spent on business specific tasks, and 25% of your week will be spent on charity specific tasks.

RESPONSIBILITIES

  • Provide proactive support to the Head of Operations to ensure systems, facilities, equipment, tech, packaging & processes provide the most efficient and stress-free working environment for the FoH, production & charity teams
  • Be the point of contact for team operational enquiries, including day-to-day troubleshooting onsite - including first-line support for technology, IT or systems issues
  • Administration support for Finance & HR Functions, including:
  • Finance Admin (Sourcing receipts, managing finance inbox)
  • HR Admin (manage recruitment inbox, redacting applications, setting up interviews)
  • Charity Programme Admin (administering referrals, managing client records)
  • Manage team system access, setting up new starters with access needed, manage equipment inventory, maintenance or team laptops etc and ensuring smooth offboarding from systems & handing back technology / keys etc.
  • Provide administrative assistance to Senior Leadership & CEO, including preparing and sorting paperwork, presentations, planning events, coordinating Google Calendar diaries, booking external meetings and ordering/purchasing on their behalf.
  • Manage facilities issues ticket system, liaising with External Facility Management Company & escalating to Head of Operations as necessary
  • Liaising with external service providers, eg phone/broadband, POS provider, Utilities etc
  • Office Management, ensuring sufficient supply of functional equipment & stationery and sorting/distributing the incoming and outgoing post
  • Arranging whole team socials/training events including scheduling events, managing RSVPs, booking venues etc
  • Any other tasks that the CEO, Head of Operations and Head Office team may require

PERSON SPECIFICATION

NECESSARY:

  • Motivated, hard-working and ambitious
  • 2 years experience in a professional fast-paced environment
  • Excellent communication skills both verbal & written
  • Tech savvy - technically proficient with MS Office, GSuite, Slack, Airtable, POS systems & Apps
  • Experienced following GDPR policies for data handling
  • Well-organised and good attention to detail
  • Practical and hands-on, naturally takes initiative and ownership of projects
  • Flexible and open to change
  • Focused on goals and achieving them
  • Positive, can-do attitude
  • Understanding and supportive of Luminary’s social aims and vision
  • Understanding of the Luminary Faith Policy and supportive of the organisational values
