Job Title: Volunteer Administrator  

Reporting to: Volunteer Coordinator  

Hours: 3-4 days per week (21-28 hrs per week), flexible days 

Holiday: 25 days per annum pro rata + bank holidays 

Salary: c£23,000 gross annual pro rata 

Location: Hybrid – remote with some on-site working in various London locations (Camden, Barnet, Islington)  

FEAST With Us - Feeding and Empowering All Sustainably Together 

FEAST With Us (FEAST) started in 2015 as a weekly community meal at a hostel for homeless people, using surplus food that would otherwise be thrown away. Each meal is a collaboration whereby volunteers and people experiencing food insecurity cook and dine together as equals.      We support people with daily nutritious meals per week in multiple hostels for people experiencing homelessness, and 1-2 services per week in and delivered to community centres for anyone struggling with food poverty. We now work with 14 partner venues across London.  

FEAST is expanding its services including offering training on nutrition and practical experience in the kitchen for vulnerable people experiencing food poverty, to give opportunities to help people become independent from food aid services. In partnership with UCL we were awarded funding by the British Dietetic Association (BDA) General and Education Trust (GET) Fund to conduct an 18-month cross-sectional study assessing the nutritional status of homeless adults residing in temporary accommodation. This research is much needed to identify dietary health inequalities and solutions to support this disadvantaged population group who are known to experience food insecurity and likely malnutrition.

Job Description: 

This is a great entry level position for someone wanting to gain experience in the not-for-profit sector, while joining a growing high-impact charity with strong links to local councils, community partner organisations and a varied service user population. You can put your skills to use in an environment that lets you do good and benefit those experiencing food insecurity, sadly an increasingly relevant issue for millions of people across the UK.  

Being a Volunteer Administrator in a medium-sized charity means you'll be working closely with a small team of passionate and dedicated people who are working hard to make a difference in the community. Your support is invaluable because you'll be helping to keep one of our most important areas of our operations running, the management of volunteers. We have a large volunteer pool of over 300 people, and you will be interacting with them daily. A sociable attitude is essential for this role, and you will thrive in getting to know our volunteers.  

This is a varied role with duties ranging from working with our bookings system, dealing with public inquiries, working with volunteer marketing and volunteer strategy, as well as making sure we reach our KPIs. 

Responsibilities: 

As our Volunteer Administrator, you will be responsible for the administration of the main volunteer processes. You will be line managed and work closely with the Volunteer Coordinator to enhance and improve our volunteer processes, including recruitment and retention. Your main tasks will be, but are not limited to:  

  • Confidently and independently managing all administrative aspects of FEAST’s volunteer processes 
  • Conduct volunteer interviews 
  • Manage volunteer bookings 
  • Manage the volunteer database 
  • Make sure our volunteer sessions and opportunities are nurturing and provide the proper environment for volunteers  
  • Work with the wider Operations team to identify improvements to the volunteers’ processes 
  • Work towards set KPIs for volunteers team 
  • Work alongside the Volunteer Coordinator to develop engagement strategies 
  • Assist in managing our corporate volunteers’ programme 
  • Assist with all other volunteering activities and act as a FEAST spoke person for volunteering subjects.  

Required Skills & Experience: 

  • Data collection 
  • Ability to communicate effectively and confidently on the phone, in online meetings and face-to-face, and develop positive relationships 
  • Good organisational and time management skills 
  • Strong IT skills including MS Office  
  • Ability to learn how to use new systems (experience with Airtable or Salesforce desirable) 
  • Ability to work to tight deadlines autonomously 
  • Ability to analyse processes and work toward improving them.

Desirable Skills & Experience:  

  • Experience of CRM (Salesforce), PowerBI and AirTable  
  • Volunteer admin and coordination 
  • Safeguarding and valid DBS check (will be part of FEAST training) 
  • Insight into food poverty/insecurity 
  • Account management/experience working with corporate organisations 
  • Additional training in safeguarding, food safety, and food systems 
  • Marketing 
  • Data management and analysis 
  • Project coordination  

Location: 

Most of the work will be able to be done remotely but you might be asked to visit some of our community partner based venues in North and North West London to carry out marketing or supervision activities alongside our volunteers so you must be able to travel to these locations.
