About The MAZI Project

The MAZI Project is a youth-led, nonprofit organization dedicated to empowering disadvantaged young people through access to nutritious meals, food education, and community support. Rooted in compassion, MAZI works to dismantle food insecurity and promote dignity, choice, and opportunity. We use food as a tool for advocacy, social mobility and a cure to the public health crisis. 

Role Overview

The Board Secretary plays a critical governance role, ensuring the smooth and effective operation of board meetings and compliance with regulatory requirements. As a key member of the Board of Trustees, the Secretary supports communication, transparency, and accountability, contributing to the overall effectiveness and integrity of The MAZI Project.

Key Responsibilities

  • Governance & Compliance
    • Ensure timely distribution of meeting agendas, board papers, and minutes.  
    • Maintain accurate and up-to-date records of board meetings and decisions.  
    • Monitor board actions to ensure they are implemented and documented appropriately.  
    • Ensure compliance with governing documents, regulatory requirements, and policies.
  • Communication & Coordination  
    • Act as a liaison between board members and the executive team for documentation and scheduling.  
    • Assist the Chair in preparing for meetings and ensuring quorum is met.  
    • Manage board calendars, meeting invitations, and documentation.  
  • Record-Keeping  
    • Maintain the organization’s official records, including board policies, resolutions, and trustee contact details.  
    • Manage documentation related to board member appointments, resignations, and terms of office.  
  • Support Board Development  
    • Assist with onboarding new trustees and maintaining governance documents such as the trustee handbook.  
    • Participate in reviews of governance practices and support efforts to strengthen board effectiveness.

Skills & Experience

  • Prior experience in nonprofit governance or administrative roles (preferred but not required).  
  • Excellent written and verbal communication skills.  
  • Strong attention to detail and organizational skills.  
  • Ability to handle confidential information with discretion.  
  • Proficient with digital tools such as Google Workspace, Zoom, and document management platforms.

  • Ability to commit to quarterly board meetings and periodic administrative support (approx. 3–5 hours/month).
