Finance Director/ Treasurer – Grow Together Bucks

Grow Together - Bucks CIC (Grow Together) is seeking a Finance Director (Treasurer) to help guide the financial aspects of our organisation. Experience of working in the not-for-profit sector would be an advantage, as would an interest in community growing.

In the last year we have moved onto Xero accounting software. Our Annual Accounts, and tax return etc., are prepared by a local firm of accountants.

We are looking for someone to join us as a Director on a voluntary basis for 2-3 days per month to include month end reporting, quarterly planning reviews, and supporting funding applications led by the Grow Together Business Manager.

Role Description

As Finance Director, you will be responsible for the financial management of Grow Together; a Community Interest Company (CIC). You will maintain an overview of the organisation’s financial affairs, ensuring it is viable and that proper financial records and procedures are maintained. The role is assisted by a voluntary bookkeeper who processes Xero transactions.

The role and personal expectations are summarised below.

1. General financial oversight

  • To oversee and present budgets, accounts and financial statements.
  • To liaise with other directors about financial matters.
  • Work with our accountants to ensure that appropriate accounting procedures and controls are being followed.
  • To consult with the accountants where appropriate for advice on e.g. compliance with legislation and that any recommendations/ requirements are implemented.
  • To ensure accounts meet the conditions of contractual agreements with external agencies such as funders.
  • Work with the accountants to develop customised reports if required.

2. Financial planning and reporting

  • To present company level financial reports to the directors at monthly meetings.
  • To work with the accountants at year end to ensure timely agreement of the accounts, submission of Companies House report and  tax return.
  • To advise on the organisation’s reserves policy
  • To advise on the financial implications of the organisation’s strategic and operational plans.
  • To update forecasts and monitor actual against forecast (quarterly)
  • To advise on the fundraising strategy of the organisation.
  • Review project costs with Business Manager and review cost allocations to projects. Track expenditure by funder to ensure it is in line with funding constraints (restricted funding)
  • To ensure that there is no conflict between any funding received, or investment held and the aims and objects of Grow Together.

3. Day to Day activities

  • Process incoming invoices, and initiate timely monthly payment runs (plus occasional additional runs as required)
  • Agree amounts to be invoiced, generate Sales Invoices and monitor payments. (currently only one such project).
  • Liaise with the bookkeeper as required
  • Work with Business Manager to ensure correct allocation of income (grants, donations)
  • Agree additional projects and funder categories to be set up in Xero.

3. Qualities and Skills Preferred

  • Experience of financial control and budgeting.
  • Experience of fundraising would be an advantage,
  • Good communication and interpersonal skills.
  • A willingness to be contacted on an ad hoc basis.
  • Ability to ensure decisions are taken and followed up.
  • Good record keeping.

4. Time Commitment

  • The role of the Finance Director requires an estimated commitment of 2 to 3 days per month
  • Length of service – 12 months suggested minimum
